VENDORS

We're looking for amazing vendors to serve our fanatical music lovers!  Please read the vendor rules and regulations for all the info you will need on being a vendor.   If you have more questions after reading through this section, please fill in the form below and we'll be in touch in short order.

  

VENDOR APPLICATIONS ARE NOW OPEN

APPLICATION

Applicants are asked to complete the online application for their vending opportunity. Incomplete applications may not be considered.  Please see the electronic form at the bottom of this page.

  

 

THE APPLICATION IS NEITHER AN OFFER OR GUARANTEE OF SPACE

Vending location will be determined by Festival Management.  

Sponsor product is exclusive and will be sold to vendors at cost plus reasonable handling.

Application deadline is 5:00PM EST on July 1st and is subject to availability. 

  

FOOD VENDORS

Vending fees (for both days) will be as follows: 
$500 flat fee for food vendors plus a $50 Refundable Damage/Clean-up Deposit 
  

Each Vendor is responsible for their own individual expenses incurred in the setting up and the operation of their booth.

Sponsored product is exclusive and will be sold directly to you by the speedway, as applicable, at cost plus reasonable handling.

    

  

FEES INCLUDE

6 Vendor wristbands 
A vendor camping site (see the CAMPING page for more information).  Vendors must comply with all rules and regulations that govern the general camping areas. 

6 Shower passes (showers located in the Grandstand area)

You are responsible for your own individual expenses incurred in the setting up and operation of your booth.

NON-FOOD/CRAFT/CLOTHING/OTHER VENDORS

$150 Flat Fee (PER 10’X20’ Space) + $50 Refundable Damage Deposit 
You are responsible for your own individual expenses incurred in the setting up and the operation of your booth.

FEES INCLUDE

2 Vendor wristbands 
1 Vendor campsite 
Power and water will not be provided for camping site 
2 Shower passes (showers located in the main camping area)  
Designated Vendor parking area for 2 vehicles

POP, WATER AND ICE

 

The sale of all non-alcoholic and alcoholic beverages of any kind is must be as purchased from the Venue.  This includes the sale of bottled water .

 

ADDITIONAL VENDOR PASSES

 

A maximum of 4 additional vendor full event passes can be purchased for $65 + HST each.  These will be available at the discretion of the Boots & Hearts Staff. Vendor passes may only be used for staffing your vending location and may not be used for regular event entry.

SETUP

 

Each vendor must remain open and sufficiently staffed within the timeframe represented on the “Hours of Operation”, unless otherwise instructed by Festival Management.

NOTE: THE FESTIVAL OPERATES RAIN OR SHINE.

  • Vendors load in times are as agreed with Festival Management.

  • No space sharing, subletting, or reassignment of contract will be permitted.

  • All Vendors must be 100% operational one hour before event start as listed above.

  • Vendors are required to vend only from the location provided them.

  • Vendors may not advertise outside of their booth space including the use of flyers and sandwich boards.

  • Interior menu signage must be provided by vendor and be professionally produced.

  • Vendors are responsible to empty their garbage into the storage bins provided at the end of each day. The Festival will provide garbage pickup at regular intervals throughout the rest of the day.

  • All electrical hookups must be CSA approved.

  • Food Vendors booth/trailer must be clean, free of rust and in good structural condition.

  • Vend trailers must be skirted to the ground.

  • Final booth setup and display are subject to approval by the Festival.

  • Traffic to your booth will not be permitted during operating hours.  

  • Delivery hours are per those stated in your contract.

  • Booth space must be fully vacated and your site cleaned by noon, Monday following the Festival.

  • Vendors who fail to cleanup their booth are or leave food or debris will not receive their deposit back. Those who leave their space clean will receive their deposit credited back to their credit card

  • General overnight security is provided for the duration of the Festival.  However, all items left overnight by vendors are left at their own risk. Vendors who wish specific site security for their booth may contract security staff for their space directly through the Festival at the rate of $20/hr

     
VENDING RULES

  • Vendor employees must wear their vendor credential at all times.

  • Vendor and Shower wristbands are non-refundable and non-transferrable. Any vendor found to have sold/contested either Vendor or Shower wristbands will be immediately evicted from the festival with no refund of deposits.

  • The use of megaphones, bullhorns, flashing/strobe lights, speakers or other amplifiers will not be permitted.

  • No music or sounds may be played

  • No distribution of promotional materials or brand display of any kind besides direct signage unless agreed in writing with the Festival Management.

  • Food truck signage may not display any brand besides the food trucks brand itself.   No sponsor logos.

  • Vendors must use biodegradable utensils and service items.

  • No sampling

  • No gaming

  • Each vendor must provide their own approved fire extinguisher in order to operate.

  • No pets of any kind.

  • No smoking within the vending space.

  • No use of the Festival logo, without express written permission, pre or post festival

  • Vendors and staff must not consume or be under in the influence of alcohol or drugs while in their vending space.

  • Only items listed on your vendor application and approved by the Festival may be sold and at the agreed upon price.

  • Vendors are not guaranteed exclusive rights to sell any particular item however we endeavour to limit any duplicate vending items where possible and sensible.

  • The Festival reserves the right to specify that certain items cannot be sold.

  • Sponsored product of the Festival will be exclusive and will be sold to you at cost plus a reasonable handling / storage charge.

  • The sale of tobacco and tobacco related items are strictly prohibited.

  • All vendors making sales to the public are responsible for collecting and submitting their own HST.

  • Vendors may not sell any item with the Festival logo or word mark, any sponsor logo, contractor logo or any item with the name or image or any band or performer playing at the Festival.

  

 

PHOTOGRAPHY AND OTHER RECORDING

Photographers and videographers will be onsite to document the Festival.  Many of these images will be used in the future promotions.  By attending, you are giving up rights you may have with regards to these photos and will be deemed as having given permission for use of the same.  This includes, but is not limited to, Photos, Videos and Audio.  As the attendee you grant the Festival, its employees, contractors and all media the right to record, film, tape and photograph for the purposes of promotion and media coverage for the festival. This will include all forms of media including, but not limited to, broadcast, print, email and website usage.  This also includes rights to use any photographs or other recordings of the festival which you may take and post or use in the public domain.  Failure to comply with any of the above rules will result in the immediate eviction from the premises with no refund of any deposits paid.

 

 

HEALTH AND SAFETY


Vendors must comply with Provincial Food Premises regulations and Dept of Health and Safety requirements, licensing and guidelines.  Non-compliance will result in the immediate closure of your booth. 
All Food Vendors MUST use food grade hose for all water. Non-compliance will result in the immediate closure of your booth.


All vendors must have an approved fire extinguisher at their booth; vendors will not be allowed to operate without one.  Health Inspector and a Fire Chief may regularly inspect all vendor booths. 
All approved food vendors must submit their food license number to the festival no later than 10 days prior to the event.  Vendor is responsible for their own insurance for Fire, Theft, Vandalism, etc.


Vendors must provide a general liability insurance certificate with minimum coverage of $2,000,000. with Parlee Beach Music Festival and CENTRE for Speed, Inc as a named additional insured. Vendor will not be allowed to set up or operate without having furnished this certificate.

The Festival reserves the right to change, modify and/or update this document at any time. All successful applicants will be notified of any changes via email. Thus far no significant changes are planned.
